Beyond Written Papers: Digitising Viva, Lab, and Project Assessments in Indian Universities

Onscreen marking has transformed how Indian universities handle written exams, but viva voce, laboratory exams, field projects, and seminar evaluations — which can account for 30 to 50 percent of a student's final marks — remain largely paper-based and informal. NEP 2020 is expanding exactly this category of assessment.

The Invisible Assessment Gap

The adoption of onscreen marking (OSM) at Indian universities has accelerated dramatically through 2025 and 2026. But the platforms driving this shift — and the policy conversations around them — are overwhelmingly focused on a single component of evaluation: the written end-semester examination (ESE). For most Indian universities, the ESE accounts for 60 percent of a student's grade. The remaining 40 percent arrives through continuous internal assessment (CIA), which includes laboratory work, viva voce examinations, field projects, presentations, and seminars.

That 40 percent is, for the most part, still analog.

This matters for two compounding reasons. First, the National Education Policy 2020 is systematically increasing the weight of practical, project-based, and competency-anchored assessment. Under the Four-Year Undergraduate Programme (FYUGP), capstone projects, internships, and skill demonstrations carry formal academic credit. This shifts the ratio further away from the written exam. Second, Outcome-Based Education (OBE), now mandatory for all UGC-affiliated programs, requires CO-PO (Course Outcome-Programme Outcome) attainment calculation across every mode of assessment. If laboratory marks, viva scores, and project grades are recorded informally on paper registers, they cannot support reliable CO-PO mapping, and the resulting accreditation data is incomplete.

What "Non-Written Assessment" Covers

Universities underestimate how large this category is when it is named precisely:

Laboratory examinations: Present in virtually all science, engineering, pharmacy, and allied health programs. Typically conducted by internal examiners, with marks recorded on printed observation sheets that travel through multiple hands before data entry. A single engineering department may conduct 15 to 20 lab exams per semester across 200 to 500 students per paper.

Viva voce examinations: Used extensively in engineering practicals, medical programs, law, fine arts, and postgraduate research. In many institutions, viva marks are awarded verbally and transcribed immediately onto paper sheets, with no logged record of which examiner awarded which mark to which student at what time.

Project and dissertation evaluation: Final-year projects, research dissertations, and capstone assignments go through supervisor evaluation, internal assessment, and in many programs external examiner review. Paper-based evaluation forms may travel by post to external examiners in other cities.

Seminar and presentation assessment: Group and individual presentations are evaluated by panels. Marks from multiple evaluators are averaged on paper worksheets, then entered manually into the marks register.

Clinical and field assessments: In medical, nursing, agricultural, and social work programs, significant credit comes from clinical rotations, field placements, and skills demonstrations. Assessment here is often entirely informal — a supervising clinician or field guide signs a form.

Each of these represents a distinct digitisation challenge because the assessment event is experiential and simultaneous with the recording.

Why Paper Persists Here

The persistence of paper in practical and project assessment is not primarily about resistance to technology. It is about a design problem: existing digital evaluation platforms are built around the written answer book, which has a fixed artefact — the scanned image — that the software processes. A viva voce has no equivalent artefact.

The result is that even institutions with sophisticated OSM platforms for written exams revert to paper the moment they reach the lab block or the project room. Data then flows back into digital systems through manual entry, introducing all the transcription errors, delay, and audit-trail gaps that digitisation was meant to eliminate.

A Framework for Digitising Each Assessment Type

The solution is not a single platform but a coherent set of process designs, one for each assessment type, anchored to common principles: authenticated entry, timestamp, structured rubric, and immutable record.

Laboratory Examinations

Laboratory exams have observation sheets and results sheets. Both can be replaced with digital equivalents:

  • Generate a student-specific QR code linked to their exam enrolment number and the lab exam session.
  • The internal examiner opens a mobile or tablet application at the start of the exam session. The app loads the evaluation rubric for that specific experiment.
  • The examiner records observations in real time — not after the session — and submits marks before the session ends. The app logs examiner ID, student ID, session timestamp, and marks at the point of submission.
  • An automated summary replaces the paper observation register. Where external examiners are present, the same app captures both internal and external marks independently, then flags disagreements above a defined threshold for moderation.
  • This approach does not require the lab to have high-speed internet. The application can operate offline and sync on reconnection. The critical requirement is authenticated evaluator login before marks can be entered.

    Viva Voce Examinations

    The core challenge with viva voce is that multiple examiners may be conducting simultaneous sessions. The process design:

  • Create session codes for each viva panel. Examiners log in to the viva evaluation interface before sessions begin.
  • Build a structured rubric for each program's viva criteria — typically: depth of subject knowledge, clarity of explanation, ability to handle questions, and practical understanding. Each criterion is rated on a defined scale.
  • Examiners enter marks criterion-by-criterion for each student, with a comment field for borderline decisions. The system records which examiner entered which marks and when.
  • Where two examiners evaluate each student, the system automatically aggregates and flags discrepancies. Moderation is done digitally rather than through a paper consolidation sheet.
  • This creates, for the first time, a verifiable record of who evaluated each student and on what basis. It also enables quality analysis: which examiners systematically award higher or lower marks, whether certain student cohorts underperform in oral settings compared to written exams, and which viva criteria show the weakest student performance — all of which feeds directly into NAAC's criterion on evaluation processes.

    Project and Dissertation Evaluation

    For projects, the physical artefact (the project report or dissertation) already exists and can be digitised at submission:

  • Require digital submission of all project reports through the university portal. This enables plagiarism checking as a routine step before evaluation begins.
  • Generate an evaluation form specific to the project type. External examiners receive a secure link and complete their evaluation digitally, eliminating the postal delay and data-entry error in the current paper-based process.
  • Supervisor evaluations are entered directly into the system with the supervisor's institutional login, creating a verifiable supervisor-of-record field.
  • The complete project evaluation record — submission date, plagiarism report, supervisor marks, internal examiner marks, external examiner marks, viva component, final grade — is assembled automatically into a student academic record.
  • Field and Clinical Assessments

    Field and clinical assessments are the hardest to digitise because they occur at remote or clinical sites. The practical approach:

  • A field/clinical assessment app with offline capability allows supervisors to record assessments on-site. Sessions can be logged with geolocation data as an additional integrity measure.
  • Structured competency checklists replace informal sign-off sheets. Each competency is marked as demonstrated or not demonstrated, with a comment field.
  • Aggregated field assessment records feed into the student's internal assessment total through a controlled portal where the university's examination office has oversight.
  • The CO-PO Payoff

    The reason this matters beyond operational efficiency is Outcome-Based Education compliance. NAAC's criteria 1.1 and 2.5, as well as NBA's full program evaluation framework, require institutions to demonstrate that CO-PO attainment is calculated from all assessment components, not just written exams. When viva, lab, and project marks are in a digital system with consistent rubrics, CO-PO attainment can be calculated automatically and reported with precision. When they are in paper registers, the attainment calculation is either skipped or fabricated from estimates.

    The institutions that have fully digitised their CIA components — across both written and practical assessment — have a materially different evidence portfolio for accreditation. The difference shows in NAAC evaluations.

    Getting Started

    Universities should not attempt to digitise all practical assessment simultaneously. A practical sequencing:

    The pilot should be a program where faculty are reasonably technology-comfortable, evaluation sessions are concentrated in time, and there is a clear accreditation benefit (NBA-accredited engineering programs are strong candidates).

    The larger point is straightforward: India's examination reform conversation has been dominated by the written exam. That is where the high-profile controversies have occurred, and where the regulatory spotlight falls. But as NEP 2020 reshapes what universities are expected to measure, the assessment components that remain undigitised will increasingly define the quality ceiling of India's evaluation reform. The practical examination gap is the next frontier.
